Administrative Executive

With almost 200 people working with us, we need a high-spirited, cheerful and a people person to help us with travel related and administrative tasks. He/She will work across the company and across all management levels to facilitate travel needs, including arranging of logistics and finances for travel, and administrative maintenance of the office.

Primary Responsibilities:

Follow-up and liaising with team members and travel agent on all travel related matters:

  • Visas – Filling on-line application forms
  • Obtaining visas in a timely manner
  • Guiding and assisting team members with their visa requirements
  • Negotiation skills with regards to obtaining best possible airfares
  • Travel costing/approvals
  • Monitoring the travel tracker
  • Responsible for the travel arrangements for customers & partners
  • Arranging airport transfers for team members including customers

Apart from ensuring travel operations function smoothly, he/she will have to handle personnel related matters:

  • Checking and responding to emails
  • Negotiation skills with regards to ordering stationery for the company as well as for tender related work
  • Handling of transport requirements of the team
  • Arranging petty cash for travel purposes
  • Coordinating office functions etc (collections and travel requirements for, farewells, deaths and events)
  • Supporting HR in office events and in-house training programs
  • Manning the office general telephone line e.g. products inquiries etc.
  • Responsible in organising work stations required for new recruits, including work space.
  • Ordering office furniture and obtaining necessary capex approvals prior to purchasing
  • Responsible in sourcing apartments for project related work
  • Responsible in arranging the lease agreements for apartments rented out for project related work and keeping a close tab on renewals

Desired Traits & Attributes:

  • We are looking for a people person, who is good at building relationships and is a cheerful spirit
  • He/She needs to facilitate the needs of the teams under tight time constraints, and needs to be a person that the team can completely trust on to take care of their requirements.
  • Ability to communicate well in English
  • Be conversant in using Microsoft Office applications
